Volunteer & Admin Portal - THE Admin Burden Reduction Tool

If it’s a cadet it’s still within SMS.

Think CFAVs are done by the paid staff

Ab right, I’ll have to email the WEXO then.

I thought it was by adding an appointment by the receiving unit?

The Gaining Unit OC (unless delegated) needs to create a new appointment for you, you accept and then the losing unit OC also has to approve.

You beat me to it!

So I understand that Beta Testing of the fully digital VA claims has started on a Wg. Anyone tried it yet and got some feedback please? This has the potential to be a real admin burden reduction tool if done right.

Heard reports of process, but still interesting to see/hear what actually happens. Bet it doesn’t reduce the time to get your money!!

Heard to follows a process and linked to SMS:

  • close down SMS activity
  • individual has to claim VA at correct level (acting or substantive)
  • will go to OC Wing to approve (Regions will undertake spot check audit)
  • goes to HQAC for payment

Top two bullets have to be completed within 30 days of activity or claim cannot be made.

Payment is done mandraulically at HQAC, no automation yet between Bader and JPA and they are on reduced resources to input the data.

But lets wait and see what happens.

Force the volunteer to do their bit within 30 days (initiate the claim) or they forfeit it, but then give 0 timescale for payment. Classic.

I am behind, making sure the application is closed within 30 days. Mainly because it doesn’t show up for cadets and staff as attended until it’s closed. But don’t make us forfeit claims if we don’t go in and do it within 30 days, given the current limit is 1 year, 2 if you have a decent reason.

I can see issues arising where the director doesn’t close it until the last day, claiming their own pay in the process but not giving time for anyone else to claim

I have it on good authority that it’s 90 Days, to bring it in line with the JPA claim period.

I have suggested an auto-reminder - has to be a simple digital option to incorporate?

Just had an email telling me a cadet has signed up to an activity on SMS. Hallelujah, this is so helpful it it’s going to continue!

Check out the release notes for today’s update -Release Notes - 29 May 25

Event Signup Notifications

When a cadet signs up for an activity the cadets unit commander, and the adult in charge of the activity, if one is present, will receive an email notification to inform them a cadet has signed up.

Can you tell a new full time developer has joined the team?

So if 30 cadets sign up you get 30 emails? Or does it wait until the end of the day?

could be a stopgap while something integrated into Units?

Easy enough to create a rule so they all go in one folder.

Wearing my OC hat though this is very useful and long overdue

Would be good to make it adjustable, like sharepoint notifications. Set it to give you a daily or weekly update on who’s doing what.

Or a wing camp of 300 you get an e-mail for every bid?

A bit facetious but a move in the right direction. Next, opting out of cadet portal and not the current opting in would be a good move for events created by sector, wing, region staff.

And the ability for Sqns to be automatically added to Wg/Rgn SMS events…
