What Paperwork is needed for creating a weekend Sector Camp?

Hi, I’ve never created an event before or done paperwork for it.

I know I’m going to have to make Risk Assessments, JIs and calling letters. But what else do I need to do?

You need to get a good Admin Instruction together that details the overall plan, who is going, what you are doing and where, what your emergency plans are etc.

Risk assessments for getting there, being there, everything you are doing while you are there.

Depending on volume of people you may even need to do CACE approval or get financial approval before you even start planning.

What is CACE?

And do you have any of the empty forms?

If you’re not really sure where to start, it might be worth reaching out to your Wing Training Officer, or Sector Officer, if you have one. They should be able to give you help and examples.

Also, we have a bad habit in this organisation of doing things differently depending on our postcodes! So although what @bob1 said is 100% correct, there may be some local things at play too.

That WSO should hopefully be able to talk you through the SMS process etc too.

I’d step back, and plan a single day activity, before looking to run a camp.

In terms of docs, I trawled over SMS and “stole” files to use a templates and improve upon.

I’m thinking of doing the same thing and recycle some previous paperwork.

Yes. That’s 10 attachments. For every event.

To be fair to them, it’s nice to stick all of this in one place. Rather than relying on 12 different emails, 6 IBNs and a load of out of date policy. Even if the formatting of that table is god awful.

In fact, is there an up to date version of this anywhere on a national level? I know ACTO 10 was obviously trying to be this, but there is a lot of stuff that seems to be needed that isn’t in there!
