In my civic Street job, we have data and information champions who help us work out how long day tips should be stored for and how we dispose of it.
Do we have a similar set of regulations or someone we could contact about this stuff?
For example we have a lot of old training material that is very outdated given the fact that a lot of the aircraft it has in their or not in service anymore.
We also have old cadet 3822’s as well as first class logbooks which of course have personal data in.
We might even have some form of medical records or form somewhere as well.
I believe that old squadron computer door laptops can still just be disposed of in the usual fashion i.e taking to the council tip
This can just be binned. It contains no personal data, so no problems.
This gets trickier. Anything personal related to a cadet needs to be kept for a certain number of years after their 18th birthday. Medical and consent forms for certain. But, they shouldn’t be kept on Sqn. Ages ago when we had a big clear out, I got all the personal data stuff together and handed it off to WHQ for them to sort out and store long term. Your local milage may vary, so worth reaching out to your WHQ to ask what’s best.
But at a fundamental level, we shouldn’t have masses of personal data stored physically at the unit. New 3822As and Hs need to be scanned then shredded (preferably sent digitally in the first place). Old ones, and any consent forms/health declarations need to be sent to WHQ.
The most that should really be kept on unit is a list of cadets with parental contact details, kept in case you need them and Bader isn’t working.
WExO is your equivalent here & can advise on exact
This is true but if it is really historic (pre-2000) please check to see if local museum maybe interested sometime they can very insightful to what we use to teach cadets, & how much/little has changed.
If it’s really really old - make sure it’s not protectively marked - we use to have some ancient ap for training contain theory behind bomb angle release & nuclear weapon effect (it was low level restricted but still shred rather t he an bin)
