Well that’s very interesting. I didn’t know that. I wonder how many units are compliant with this then!

We have that policy; though it is made harder by the lack of a Squadron OneDrive (as different staff have photos from different events and so it becomes OneDrive link spaghetti in no time)

I don’t think a compressed and then encrypted backup of say a website that includes photos would be an issue though (most Wordpress backup plug ins allow for encrypting ‘local’ copies for example). After all they are already on the web host.

  1. In practical terms, care must be taken when using old photographs or stored images. Photographs should be date stamped and kept for a maximum of 2 years and then destroyed, unless they are specifically required for archive purposes. The latter are exempt under the DPA.

  1. With regard to the data protection issue, it is correct to say that a photograph is governed by DPA if it meets the criteria of “personal data” (which, in effect, means that it is clear enough to identify an individual, although the individual need not be named). Where DPA applies, personal data must be “processed” (a term which includes collection, destruction, storage and just about everything in between) in accordance with the 8 principles of data protection, which you do not need to go into detail over. This “protects” the personal data. The second main thrust of the DPA is that of the right of a data subject to gain access to information or photographs held on him/her - for example, access to annual appraisal reports not previously disclosed or photo archives.

It’s all archive, so that’s good. Providing that policy is actually relevant (and I doubt it).

Where is the line on whether photos are in use or considered part of a unit’s “historical record” - “xxx Sqn Through Time”?

I’d like to see some proper policy on this, in one place, rather than multiple policies in multiple places.

Backing up data (what ever that may be, OS or otherwise) is good practise. If we’re only allowed to store data within Bader, that gives us little option of backing things like photos up.

The rules aren’t clear (as usual). I’ve got some really old photos at the squadron. Technically by some of these rules they need shredded as they are photos of people which is personal data. That just seems silly.

How many camp photos are in units around the country going back decades?

What about old war photos?

What about the OC keeping a timeline of a how a unit progresses under their command?

As @Cadet04 said the default storage limit for a SharePoint Online site is 25TB.
It could be lower though depending on other organisation settings

Watch out with One Drive…files are automatically deleted after 2 years. I noticed this when opening a document in Office as the policy pops up. I may have misunderstood this of course.
