Recording Cadet exams and achievements

If we were allowed access to create our own queries then that would be correct usage and not just the information repository that it is and would negate the need for extra speadsheets. I should be able to create a report that tells me everything about cadet and their achievements, without looking at each individual record and writing it down!

I’ve already got the data that so dangerous in the drawer in the filing cabinet in my office.

How many companies have personal and sensitive information and create reports etc. As for controlling data, the MoD is hardly a shining beacon of probity. I’ve got all manner of information including DoB, NI, address on people at work. I have at times a requirement to create a report for personnel with this. Other than that it sits there. I have had, and I know other have it as well, Word table with cadets and NOK contact details for as many years as I have had access to word processing, that I use for sending letters and quick look up. IF SMS had a mail merge function then it would negate the need. They created a NOK report, which without an address is useless.

As for other spreadsheets, I keep one for Ultilearn and staff SMS passwords and flying details, which as I said has to be done as the SMS flying report is poor and obviously, like all the others set up by someone who is never going to use it.

The ONLY reason we had SMS imposed on us was to save a few civil servants ½ a day and us a couple of hours every six months for the numbers game. Hence why in the early days they’d get shirty about updating. We update fortnightly and have done since day one.

I use a squadron DropBox. (dropbox.com)

Online file store. Do the work on your computer, save it to the DropBox (which acts just like any other folder on your computer) and its syncs (provided you have an internet connection) with all the other computers which share the same dropbox folder. I use this mostly for sharing stuff between my laptop and squadron computers, as well as other staff.

We used to use Dropbox, and I still use it personally, but the squadron swapped to Microsoft SkyDrive because you get more space and because it has pretty good online editors for Word and Excel (some of our staff don’t have MS Office).

The calendar feature works really well too.

What’s stopping cadets getting Dad or big Brother who is a WSO in the RAF sitting their exams for them? I flag this up at every RTO meeting I go to but am always met with a shrug of collective shoulders.

So I don’t really think that randomised passwords are going to stop some cadets doing what I’ve just outlined.

I doubt actual practical knowledge of the subject will give them any additional advantage given the randomness of some of the questions!

The benefit of being able to set passwords up was you could set all 50 passwords to something memorable. Then, rather than having cadets forgetting it every time they sit exams, someone would know what it was!

The sooner we get rid of this abomination of a system the better. It’s frankly embarrassing having to explain to cadet its limitations, and let alone the fact that it STILL isn’t accredited, 2 years after supposedly going live.

Anyway, back on topic. I have created my own spreadsheet to use. It lists the cadets and their Bader numbers, against a full list of subjects. I record what they’ve passed, what they’ve failed and what they’re currently studying for, and update as necessary.

The flaw in my plan is I require cadets to update me on their progress. Some do, some don’t. I could run monthly reports in Ultifail itself, but I was hoping to avoid that.
